Rank Equivalent Matrix and Standard Manning
In this training we will discuss how to configure the rank equivalent matrix and Standard Manning ranks on the admin panel of the compass crew management system.
Let’s get started, to access the rank equivalent configuration go to admin, then click admin panel. Then click Rank Equivalence Matrix under Matrices Panel.
Here you can see the mapping of Company Ranks and the equivalent Standard Rank. Company ranks are internal ranks for a specific company, while a standard rank is a standard metric based on Compas library.
We need to create a mapping, that links the company ranks listed in the first column to the standard ranks defined in the Rank Compas library.
This mapping is very important because it is how we inform the system—particularly for the qualification matrix—how each company rank aligns with the requirements of the corresponding standard rank.
The reason for this mapping is that a company may have different internal ranks that correspond to a single standard metric.
For example, a company might have both a “4th Engineer” and a “Senior 4th Engineer.” Although these are distinct roles within the company, they may correspond to the same standard rank, even if their internal requirements differ.
How do we create this mapping?
Simply Click on Green Plus icon,
On the drop-down list, Select the rank that you want to map, in this case, the fitter.
There are also several options available here to tick.
These options are important for reporting purposes and other documents that will appear later in the system.
One example is the Headcount indicator. When you want to see the total number of people in your fleet, only the ranks marked as included in headcount will be counted.
Another indicator is the Key 7 ranks on board, which is a special classification.
If you want to include a rank in the Top four—such as Master, Chief Officer, Chief Engineer, and Second Engineer, or if it is for a specific rank like a senior officer, you can assign them accordingly.
This also includes if the rank is a considered to be part of the riding gang which is a temporary crew for maintenance or the rank is on training or on cadetship or apprentice, depending on the configuration you want to apply to each rank, you can select different checkboxes. These selections will have an impact on reporting and matrices.
Once you have defined your setup, click Save Record to save both the rank and the configuration.
Once saved, you will notice that any Training Fitter will be assigned as Fitter as standard rank.
In terms of this equivalence for the position, this position of trainee fitter will be compared as equivalent to a rank of a fitter.
Now let’s move to the next topic which is the standard manning.
To define the standard complement on board vessels and how vessels are manned, Compas provides a feature called Standard Manning.
To configure standard Manning simply go to Admin, then click Admin Panel, click Standard Manning which is under matrices.
This functionality allows us to apply a specific set of ranks and nationalities to each vessel.
How do we do that?
There are two ways.
One way is to set up the available vessels.
Click on the drop-down list for applicable vessels. Then select the desired vessel. In this example we will select the vessel Anna Lehmann,
To add a new entry to define which ranks will be assigned to the vessel, as well as the overall composition.
In this example, to add a Second Officer for the vessel Anna Lehmann, I click on the Green Plus icon.
A new window will appear, here you can add information for the standard manning requirement for Second Officer. Enter the number of required Second Officers for this vessel.
Next, enter the standard rotation that should be assigned to individuals in this position.
Enter the number of days on board, the numbers of days off the vessel. The double up days, which is normally one day for overlapping on the joining port. And lastly enter the number for minimum safety manning for this type of vessel as per minimum safe manning certificate of the vessel.
Click on insert once done.
I have now established a standard rule. This means that anyone joining the ship as a second officer, as well as all planning and movement assignments, will follow this rule.
The standard tour duration will be 90 days, with a 45-day vacation or holiday period.
However, since different nationalities may have specific exemptions, this is where we can configure the system to accommodate those exceptions.
To configure nationality applicability, simply click on the globe icon, A new window will appear. Select your desired nationality this rotation will apply, for this example I clicked on Filipino Crew.
This applies, for example, to Filipino crew members. Click add, then click close.
These will be the standard terms for working onboard and on leave for a Filipino second officer joining the vessel Anna Lehmann.
To add standard manning exception for other nationality for second mates, simply click on plus icon for exception, then click on the green plus icon, then select the desired nationality, enter the contract days on and contract days off. click on select and save.
For example, for Danish Second officers, they have a contract of 60 days on and 60 days off. Simply enter the number of days and click on Danish and click add select. Once done click on save.
So here we have now two kinds of rotations, for Filipinos they have 90 days on and 45 days off while for Danish, they have 60 days on and 60 days off.
I can add as many exceptions as possible, for example I will add one for British Crew, I will enter 45 days on and 45 days off.
The system will now see 2 exceptions, for British and Danish.
Doing this set up for each vessel individually can be very tedious, To simply this process, we can create what we call a “standard manning.”
Standard manning allows you to create a specific plan for your vessels.
To do this, simply click on the Green plus icon, Enter the name for the Code, Sequence, Description, Correspondent. Then click on save. Click on the refresh Icon on the web page to update.
Then go to Standard Manning Configuration.
Here you can see the standard manning Cloud class vessels you have just created.
Then on the right hand side here, I can assign vessels for this standard manning by clicking on the drop down list.
To add a standard manning requirement for Master simply click on the Green Plus icon.
Enter the necessary information.
Once done click on insert.
As a review, to add a specific nationality to which this set up applies, click on the Globe icon. Click on the desired nationality and click add. Then close.
To add exceptions, click on the plus icon, Then click the green plus icon.
Enter the desired days of on and off for a Danish Crew. Once done click on save.
Do the same procedures for other officers.
Always remember to add applicability for nationality.
Once you are a done setting up the standard ranks.
On the right hand side click on the drop down arrow for vessels you would like to apply this standard manning set up to.
Simply click on the vessel and click add vessel.
All the vessels that you have added will have the same standard manning set up.
