Users Setup

In Compas, this feature can be found through: Admin | General | Providers configuration.

Users can be created for a particular provider, and it is through the user profile created under that provider that the User accesses Compas

An individual can be a user for more than one provider; however they will have to have a different user profile for each provider as once an email is registered when a user is created, the same email cannot be used again in Compas.

Only Admin Users can create or amend Users in Compas.

Creating a User

  1. Click on the :user: icon to open the ‘Permissions’ page.ecd14280-fb9b-428a-bb21-06bb350f7018.png
  2. Shows usernames of existing Users under that provider.
  3. Click :Pencil: to amend an existing User.
  4. If wrong provider has been selected, can select the correct provider by accessing the drop-down menu where all the providers are listed
  5. User Profiles of Users listed under (2) can be exported to excel.
  6. Click :My_profile: to add a new User, the page opens the Basics form where a new user can be created.4609200d-e54c-4f33-a1d2-3ac2ad51b46a.png
  7. User Name - A required field. The client can create their own parameter with regards to what user name can be used, however spaces are not allowed
  8. Password -A required field. The system can auto generate a password by clicking the :refresh: icon, once generated, can copy the password. If client has single sign on (SSO), a password will not be required to access Compas unless via mobile or tablet
  9. Company - A required field. If correct Company is not shown, using the drop down menu can select another provider.
  10. Department - Drop down menu is from the list of Roles under ADMIN/GENERAL/LIBARY CONFIG/DEPARTMENTS
  11. Must Change Password - this must be ticked if password needs to be changed when logging on for the first time. The parameters of the new password will be according to the Password Policy under ADMIN/SYSTEMS/PASSWORD POLICY
  12. Allow Global Access - Can restrict access to certain IP address, e.g office IP address, which can be whitelisted in the system, ticking this box allows global access so user can log on anywhere. Global access can be restricted so that it expires after a certain date. It can also be conditional so that it is only available after a certain time
  13. Identity Provider - Compas is always listed and must be ticked, however if there is SSO then that identity will be listed and must be ticked. SSO Identity is configured under ADMIN/SYSTEM/IDENTITY PROVIDERS
  14. Email (Personal) - A required field. Compas will not allow the same personal email address to be allocated to more than one user profile
  15. Email (Correspondent) - A required field. The correspondence email where emails are sent and received from should be a group email address eg Crewing.
  16. When all required field entries have been entered, click Copy Password & Submit to create the user.

Configuring a User

Once a User has been created, the name of the user appears under the list of Users. To configure the User, click onto the Users Name in the list of users to highlight it, the Permissions menu will then open.7cfa9d2e-a551-40f6-955a-fffcaaa2fe2f.png

Assigning Roles

  1. Username of the user you are assigning roles to will show in red
  2. A role must be assigned. List of roles showing here is from the library ADMIN/GENERAL/LIBRARY CONFIG/ROLES. Can add a role using the :thin_green_cross:, or can highlight an existing role and amend using the :Pencil:. Changes or amendments here to roles will be reflected in ADMIN/GENERAL/LIBRARY CONFIG/ROLES.
  3. A User can have one or multiple roles. Highlight the roles the User needs to be assigned in the Available roles
  4. Using the selection criteria, the assigned roles are then moved over to the Selected roles. If multiple roles have been selected, companies must be assigned to each role separately

Assigning Companies

This determines which Companies & Manning Offices the User has access to

  1. Highlight the Selected Role
  2. A Company must be assigned. The list of Available companies are the active companies from the library ADMIN/GENERAL/LIBRARY CONFIG/FLEET/CREW POOL
  3. A Source Code must be assigned. The list of Available source codes are the active source codes from the library ADMIN/GENERAL/LIBRARY CONFIG/SOURCE CODES. The selection criteria is slightly different here as can have many Source codes, so have the option of selecting None, apart from those moved over to the selected column, or All except from those moved over to the selected column
  4. Owner Pool. The list of Available Owner Pools are the same companies as those with the Owners Provider type. This list will include any deleted Providers. An Owner does not have to be selected as some client configurations do not include the Owners Tab. The selection criteria is the same as with Source Codes
  5. Permissions must be configured. Configuration is shown below.4d104f5b-4837-48ca-81db-bfec82e9431c.png
  6. LOA - Limit of Authority. Here can proscribe how much the User can authorise. The drop-down based is fixed and based on the modules where LOA is implemented. In the instance of ticketing, the LOA applies per passenger.

Permissions

Permissions decide what access is available and what the User can/can’t do in Compas. Permissions are role based and are created under ADMIN/GENERAL/LIBRARY CONFIG ROLES for each role. However, under the User profile, an individual user can have specific permissions added to or removed from their selected roles.fcc2e08b-66ce-4adc-a085-f23f2548841d.png

  1. Permissions are based on a tree like structure, eg Crew page being the main branch, tabs such as Personal Details branching off the main branch, item such as Address branching off Personal Details in cascading permissions
  2. In Permissions:
    1. Grant - gives access to a particular section (including viewing uploading docs)
    2. Add - the :thin_green_cross: icon will show
    3. Edit - the :Pencil: icon will show
    4. Delete - the :dele: icon will show
    5. View Audit - the :mag: icon will show
    6. View Reports - get access to reports (the report section in the left hand menu on the home page)
    7. Lock - the :lock_green: icon will show so can lock certain records eg records linked to bank accounts, payroll and allotments. The lock under Personal Details is the GDRP processing lock
    8. Approve - can approve
    9. Undo approval - can un approve
    10. Upload Docs - the :file_saving: icon will show
    11. Delete docs - can delete uploaded docs
  3. Changes to a Users permission (exceptions) will be highlighted in orange and will take place immediately if the User is not logged on. If they are logged on, they will have to log out and log back in again for the changes to take effect. As Exceptions are kept separately, even if the permissions of the Role change, the exceptions will still stay.0458f7de-f15f-4964-9924-557869d9315e.png
  4. Can view the Users that had Exceptions applied in the Permissions Exception report under ADMIN/SYSTEM/PERMISSION EXCEPTION REPORT. This report can be exported to Excel.

Managing Users

Once a User has been created, they can log in using their username and password. A user can only log in from one device at a time, so for example if they try to log in from their mobile when logged in from their laptop, the laptop session will be killed.

User List

Can view and search for all the Users of the system under ADMIN/SYSTEMS/USERS LIST. Can see when they were added, view their last login and see whether they are active or not. This list can be exported to Excel.c33e6a05-7529-4147-9071-13a5e1d23af9.png

  1. Can select log in period of search
  2. Can select Status
  3. Can view users who have never logged on
  4. Can search for a specific user
  5. Can amend user Profiles, clicking on the :Pencil: icon opens up the Basics form

The basic form under the User List has an additional box ‘Active Status’. By unticking the Active Status, the user becomes non active and can no longer log on.

Currently logged in Users can be viewed under ADMIN/SYSTEM/CURRENTLY LOGGED IN USERS

  1. IP address is shown
  2. Username is shown
  3. Can kill the session of the User
